Custom App for Guest Check-In & Booking Management

Overview

The Palm Springs Surf Club partnered with CrowdPass to create a frictionless guest experience by implementing tailored venue solutions for guest check-in, booking surf sessions, and managing attendee flow through access control. Through a custom mobile app, Palm Springs Surf Club streamlined operations using on-site and online registration tools, real-time session management, and NFC wristband integration.

The Challenge

The club needed a quick and efficient way for guests to check in and manage surf sessions. Staff needed a clear, real-time view of guest bookings and session availability. Palm Springs Surf Club wanted to provide a customized, easy-to-navigate experience for their guests from registration to session participation.

User Registration

Guests completed an onboarding wizard to input basic information, verify age with a license scan, and upload a selfie for a personalized profile. Once registered, guests had access to a comprehensive profile including pairing status for their NFC wristband, check-in status, ID verification, waiver completion, and personal info along with upcoming sessions.

Real-Time Staff Views

Staff were provided with a real-time Dayview overview of sessions, displaying current and upcoming bookings. A 'Green Check + Paired' indicator allowed staff to quickly identify whether guests had checked in and paired their wristbands. An Attendee List displayed which guests were currently in a session and which were next in the queue. Staff could also access a detailed Session List to see which events and surf sessions were live, upcoming, or completed.

NFC Wristband Integration

Guests received NFC-enabled wristbands, which were paired to their user profiles upon check-in. These wristbands allowed guests to scan into their surf sessions, providing an effortless, contactless way to participate. When a guest scanned their wristband, the system displayed check-in confirmation, while unauthorized attempts prompted alerts.

Results

The implementation of CrowdPass Venue Solutions led to streamlined guest check-ins with the custom mobile app and NFC wristbands creating a frictionless process. Staff could easily monitor session availability, check-ins, and attendee flow. With personalized profiles, simplified booking, and seamless scanning into sessions, guests were more engaged and had a more enjoyable experience.
